RPA Roundtable Roundup: Hybrid Meeting Best Practices

Topic: Expanding our Reach at RPA 

We have upgraded our office to have the ability to host hybrid meetings. And though we were going to learn how to set up that technology, our guest speaker was not available so we shifted our conversation to assess our Roundtable format, what is working well, what hasn’t worked well, and what we might do next. Our aim has been to build community at RPA and discover how our Roundtable discussions might evolve.

What Is Working Well

The origin of these roundtable discussions was to meet in-person, move away from our screens, and connect with each other face to face. Everyone at the table confirmed this positive effect. We have brought people to the table who have not otherwise been active at RPA, including our speakers, and we’ve offered people something to do, including action plans. The regularity—meeting every month has also been a plus. 

What Hasn’t Worked Well

People noted the lack of publicity about these events which has resulted in spotty attendance. Sometimes it has been hard to stay on topic and others remarked a desire to go deeper into some topics. At the same time, we recognize our job is to begin the conversation and let others take next steps. 

Next Steps

Some of our members aren’t able to join us in person and we want to be more inclusive, so we welcome embracing the hybrid form of meeting. We also want to continue offering alternative ways of gathering besides sitting around the table and talking: small group activities, bringing in crafts or making something (like our gift bags for the unhoused), moving our bodies, engaging with youth, offering a book club, etc. 

Overall the group’s assessment is that the Roundtable discussions have been a positive, and productive way for members and others to meet, build alliances, and learn together. We will continue meeting on the Second Saturday of each month, from 11 until 1, at the RPA office, though we’re breaking for August recognizing the vacation season.
